Quick answer

A plumbing invoice is the final bill for a job. It should carry your business name, license number and contact details, the customer and service address, a unique invoice number, the issue and due dates, and every charge split into labor, parts and fees. Below the line items it shows the subtotal, any discount, sales tax where your state requires it, the total, any deposit already paid and the balance due, with payment terms and warranty notes at the bottom.

Invoice total formula

How the invoice total is calculated

The plumbing invoice generator adds your lines, takes off the discount, adds tax only on the lines that are taxable, then subtracts anything the customer has already paid.

What it meansHow it is worked out
Line amountOne charge on the job: labor, a part, the service call or a permitQty × unit price (hours × rate for labor)
SubtotalAll charges before discount and tax, also shown as labor, parts and feesSum of every line amount
DiscountA fixed dollar amount off the jobSpread across all lines in proportion, so taxable lines carry their share
TaxSales tax on the taxable lines only (parts only, every line, or none)Tax % × taxable lines × (1 minus discount ÷ subtotal)
Balance dueWhat the customer still owesSubtotal minus discount + tax minus deposit or amount paid

Worked example: water heater swap with a deposit, tax set to parts only at 8%

Subtotal$1,200.00labor $330, parts $700, service call $90, permit $80
−
Discount$60.005% of the subtotal
+
Tax$53.208% of $665 parts after their discount share
=
Total$1,193.20invoice total
Total$1,193.20from the row above
−
Deposit paid$300.00taken before the work
=
Balance due$893.20what the invoice asks for
How to use

How to use this plumbing invoice template

Four tabs, one live preview. Whatever you type shows up on the invoice on the right straight away.

  • Add your business details: name, address, phone or email, tax ID and your plumber license number. Upload a logo if you have one; it is read on your device and never sent anywhere.
  • Enter the customer and the job: customer name, billing address, the service address if the work was at a rental or a managed property, the service date and the permit number when the job needed one.
  • List labor and parts: one line per charge, each tagged as labor, parts, service call or permit. Put hours in the quantity box for labor so the customer sees time and rate.
  • Set tax, discount and terms.
  • Record a deposit: on bigger jobs like a water heater or a repipe, enter what was paid up front and the balance due updates by itself.
  • Download the PDF: press Download PDF and choose Save as PDF. Only the invoice prints, with nothing from this page around it.

Why it matters

Why are invoices important for plumbing contractors?

An invoice is the bill, the proof the work was done and the record your bookkeeper and the tax office will ask for later.

  1. Clear billingLabor, parts and fees on separate lines answer most of the questions a customer would otherwise call about.
  2. Faster paymentA due date, a total and a way to pay. Fewer questions back means the money comes in sooner.
  3. Records for tax timeNumbered invoices with dates and tax shown separately make bookkeeping, sales tax returns and any audit far easier to get through.
  4. Proof of serviceThe service address, date, technician and permit number tie the bill to the job if a warranty claim or dispute comes up months later.
  5. Fewer disputesItemized costs leave little to argue about.
  6. A professional lookA branded, consistent invoice builds trust and repeat calls. Using one template for every job also stops missed charges, like the permit fee or the second trip.
Sales tax

Do plumbers charge sales tax on labor and parts?

It depends on the state, and in some states on whether the job is a repair or an improvement. Here is how four large states treat it.

StateHow plumbing work is taxed
CaliforniaConstruction contractors are generally the consumers of the materials they furnish and install, and on a lump sum contract the tax applies to the cost of materials to the contractor. Some contract types make the contractor the retailer of materials instead.
New YorkRepair, maintenance or installation service to real property is taxable, so sales tax is collected from the customer. A capital improvement is not taxed to the customer when they give the contractor a Certificate of Capital Improvement.
TexasLabor to repair, remodel or restore residential real property is not taxable. The total charge for remodeling, repairing or restoring nonresidential real property is taxable.
WashingtonPrime contractors collect retail sales tax from the property owner on the gross contract price, and the invoice must state the sales tax separately.

Every other state sets its own rules. Check with your state department of revenue, then set Tax applies to and Tax % in the generator to match.

Payment terms

What payment terms should a plumbing invoice use?

Small service jobs are usually invoiced and paid as soon as the work is done. Net 30, which gives the customer 30 days from the invoice date, is a popular option for larger or commercial work.

TermWhat it meansWhere it fits
Due on receiptPay when the invoice arrivesHomeowner repairs and service calls finished in one visit
Net 15Pay within 15 days of the invoice dateRepeat customers and smaller property managers
Net 30Pay within 30 days of the invoice dateCommercial accounts, landlords and general contractors
Deposit and progressPart up front, the rest at milestones or completionRepipes, remodels, water heater and sewer line jobs

If you charge a late fee, say so on the invoice before the work is billed, and keep it within your state's limits.

Invoice vs estimate vs receipt

Plumbing invoice vs estimate vs receipt

ReceiptAfter paymentConfirms the customer has paid.
For plumbers

Industry specific tips for plumbing invoicing

Plumbing runs from a 30 minute clog to a month long remodel. These habits keep the invoice clear at both ends.

  1. Separate labor from materialsShow time worked and parts replaced on their own lines. In several states the two are taxed differently, so this also keeps the tax right.
  2. Name after hours chargesState the emergency or weekend rate as its own line.
  3. Write down warrantiesNote what the parts and the labor are covered for and for how long. It cuts follow up calls.
  4. Bill big jobs in stagesDeposit, progress and completion invoices for repipes and remodels.
  5. Carry the permit numberWhen a job needed a permit, put the number and the fee on the invoice so the customer and the inspector can match them.
  6. Invoice the same daySend it when the job wraps.

What should a plumbing invoice include for clients?

Your business and license details, the customer and service address, an invoice number, issue and due dates, a description of the work, labor hours and rate, parts and materials, the subtotal, discount, tax, total due and payment terms.

When is the best time to send a plumbing invoice?

Right after the job is finished. On large projects, send one at each milestone instead of waiting for the end.

What's the difference between a plumbing estimate and a plumbing invoice?

An estimate sets out the expected cost before the work begins. The invoice is the final bill once the services and materials have been provided.

What is the difference between a plumbing invoice and a receipt?

An invoice asks the customer to pay. A receipt confirms that payment has already been made.

How do I format a plumbing invoice correctly?

Business details and the invoice number at the top, customer and job details below, then line items split into labor, parts and fees. Totals sit at the bottom right with the balance due made obvious, and payment terms and warranty notes go underneath. The generator above lays it out that way for you.

Should plumbers use an invoice template or generator?

A blank template works if you like filling things in by hand. A generator does the math, keeps the layout the same on every job and gives you a PDF straight away, which saves time and avoids adding mistakes.

How does a plumbing invoice generator work step by step?

You enter your business and customer details, add labor, parts and fees as lines, set the tax, discount and any deposit, and the plumbing invoice generator works out the totals and the balance due. Then you download the invoice as a PDF.

Why are plumbing invoices important for contractors and clients?

They prove the work was done, explain each charge, support your tax records and make the business look professional. For the customer, they are the record for warranty claims and insurance.

Do plumbers charge sales tax on labor?

It depends on the state. Texas does not tax labor on residential repair, New York taxes repair and maintenance work, and Washington taxes the whole contract price. Check your state's rules and set the tax option in the generator to match.

Is my invoice data saved or uploaded?
