Qty is the number of months or units billed. Add a late fee line only when the lease sets one and your state allows it.
Saved in this browser only, never uploaded. The unit and charges filled in are a made up example for you to replace.
A rental invoice asks a tenant to pay for a set rent period. Put the landlord or manager details at the top, then the tenant, the rental property address and unit, a unique invoice number, when it was issued and when it is due, and the lease dates or reference. List the rent and every extra charge on its own line (utilities, pet rent, parking, a late fee if the lease allows one), then show the subtotal, any credit, the total, money already received and the balance due. A security deposit is mentioned as a note; it is not taken off the rent.
How the rental invoice total is calculated
The rent invoice generator adds up the lines for the period, subtracts any credit, adds tax only if you switch it on, then takes off any payment logged so far.
| Meaning | How it is worked out | |
|---|---|---|
| Each line | A single charge for the period: base rent, a utility, pet rent, parking, a late fee | Qty × unit price (months × monthly amount for rent) |
| Subtotal | Everything billed for the period, also split into rent, utilities and other charges | Sum of all line amounts |
| Discount or credit | A fixed dollar reduction, such as a concession or a refund owed to the tenant | Taken off the subtotal |
| Tax | Off by default; switch it on only where your state taxes this kind of rental | Tax % × (subtotal minus credit) |
| Balance due | What the tenant still owes for this invoice | Subtotal minus credit + tax minus amount already received |
Worked example: one month for Unit 3B with water, a pet and a parking space, part already paid
How to use this rental invoice template
Fill the four tabs in order. The invoice on the right updates with every keystroke, so check it before saving.
- Landlord details: your name or company, mailing address, phone or email and a tax ID if you use one.
- Tenant and lease: the tenant, their business name for a commercial lease, the rental property address, unit or suite, lease reference, lease start and end, and the start and end of the rent period this invoice covers. Getting the period right matters most, because it is how both sides match the bill to the month.
- Rent and charges: one line each.
- Terms and payment: choose the terms and the due date fills in from the issue date. Record any credit and money already received; the balance updates straight away. The security deposit box prints as a note and never changes the total.
- Save the PDF: hit Download PDF and choose Save as PDF; the printout holds the invoice alone.
What to include in a rental invoice
A tenant should be able to read the invoice once and know which home, which dates and which charges they are paying for.
| Part | What goes on it |
|---|---|
| Landlord or owner details | Your name or company, mailing address, phone or email, and a tax ID or registration number if you have one. |
| Tenant details | The tenant named on the lease and, for a commercial lease, the business renting the space. |
| Invoice information | Its own invoice number, an issue date and a payment due date. |
| Property and lease details | Rental property address, unit or suite, lease reference, the lease start and end dates, and the rent period being billed. |
| Rent and charges | Base rent first, then utilities, pet rent, parking, storage or any other charge the lease allows, each on a separate line. |
| Summary | Subtotal, any credit, tax if it applies, the total, payments already received and the balance due. |
| Additional information | Payment methods, where to send it, a note on the security deposit held, and the late fee terms written in the lease. |
Why are invoices important for landlords and property managers?
Rent is usually the same every month, which is exactly why a written bill helps: it records the moments when it is not.
- A record per periodEach invoice ties one payment to one unit and one set of dates, so a missed month is easy to spot.
- Extra charges explainedA water bill passed through, a new pet or a parking space added mid lease shows up as a named line rather than a surprise total.
- Cleaner booksNumbered invoices make it simpler to report rental income. Payments a tenant makes toward your own expenses also count as rental income, so it helps to see them written down.
- Fewer argumentsDates and amounts in writing settle most disputes.
- Same layout every timeUsing one rental invoice template for every unit keeps tenants used to where the due date and total sit, and stops you forgetting a recurring line.
How security deposits and advance rent are treated
This is the part landlords most often get wrong on an invoice. Federal tax rules draw a clear line between a deposit you plan to return and money that is really rent.
| Money received | How it is treated | On the invoice |
|---|---|---|
| Security deposit you plan to return | Not income when you receive it | A note of the amount held; not deducted from rent |
| Deposit kept because the lease was broken | Income in the year you keep it | Shown on a final statement, not a monthly bill |
| "Deposit" meant as the last month's rent | Advance rent, income when received | Apply it as a payment on the final period's invoice |
| Rent paid ahead of time | Income in the year received, whatever period it covers | Record it under amount already received |
| Payment to cancel a lease | Treated as rent | Bill it as its own line |
State laws on holding and returning deposits vary, so check yours before you apply a deposit to anything.
When to send a rent invoice and when it is due
The lease sets the rent due date. The invoice simply restates it, so match the terms below to what the lease says.
| Setting | When to use it |
|---|---|
| Due on receipt | You send the invoice on the day rent is due |
| Net 5 or Net 10 | You send it a few days to a week and a half ahead of the lease due date |
| Net 15 or Net 30 | Commercial tenants whose accounts team pays on a cycle |
| Custom due date | Type any date into Due date and it stays put |
Late fees differ by state and many places limit them. Only add one when the lease spells it out and you know your local rules.
Rental invoice vs rent receipt vs lease
Landlords use three papers for the same tenancy, each at a different point.
| Document | When | Purpose |
|---|---|---|
| Lease | Before move in | Sets the rent, due date, deposit and allowed fees. |
| Rental invoice | Before or on the due date | Asks for payment for a stated period. |
| Rent receipt | After the money arrives | Confirms the tenant has paid. |
Industry specific tips for rental invoicing
Small habits that make month after month of billing less work.
- Name the periodWrite the exact start and end dates, not just the month name, especially for a first or last month that is only part of a month.
- Show utilities separatelyIf you pass on water, trash or gas, give each its own line with the billing month in the description. Tenants accept a pass through cost much more readily when they can see which bill it came from.
- Number by unitA short prefix per property or unit makes searching old invoices quick.
- Keep the deposit off the mathMention it, but leave it out of the totals.
- Send on a fixed dayTenants plan around a predictable invoice.
Managing rentals? The calls cost more time than the invoices.
A leaking tap at 2am, a viewing request, a tenant asking when the plumber is coming: each one interrupts your day or goes to voicemail. ServiceAgent answers those calls whatever the hour, takes down the unit and the problem, and books the visit on your calendar, so nothing waits until Monday.

Plain answers about rent invoices, deposits and this generator.
Book a free demoWhat should a rental invoice include for tenants?
Landlord and tenant names and contact details, the rental address and unit, an invoice number, the billing period, issue and due dates, the rent and each extra charge, any tax, the total due and how to pay.
When should I send a rental invoice?
At the start of the billing cycle, or a few days before rent falls due, so the tenant has time to arrange payment.
What's the difference between a rental invoice and a rent receipt?
The invoice asks for rent that is coming due. The receipt is issued afterwards to confirm the tenant paid.
How do I format a rental invoice correctly?
Title and invoice number at the top with your details, then the tenant, property and period, then itemized charges, with the total and balance due at the bottom and payment terms below. A PDF holds the layout in place.
Should landlords use a rental invoice template or generator?
Typing into a blank template works for one unit. A rent invoice generator adds the lines for you, fills the due date and produces the PDF, which is quicker when you bill several units every month.
How does a rental invoice generator work step by step?
Enter the landlord, tenant and property details, add the rent and charges as lines, set the terms and any amount received, and the rent invoice generator works out the balance. Then download the PDF.
How long does a rental invoice take to make with a generator?
Only minutes for the first one. After that your details are saved in the browser, so the next month mostly means changing the dates.
Why are rental invoices important for landlords and property managers?
They give each payment a dated record, explain extra charges, and make it easier to keep your books straight at tax time.
Should I take the security deposit off the rent invoice?
No. A deposit you plan to return is held, not earned, so the generator shows it only as a note. If the lease says the deposit is the last month's rent, it counts as advance rent, and you can enter it as an amount received on that final invoice.
Can I add a late fee?
Yes, as a Late fee line, but only when the lease sets the fee and it fits your state's rules, which differ from place to place.
Where is my rent invoice stored?
It is kept in this browser, ready for next month. Nothing is uploaded and the logo never leaves your device. Reset wipes the draft.
