Quick answer

A painting invoice lists your business details and license number, the client with billing and project site addresses, its own invoice number, when it was issued and a due date (often Net 15 or Net 30). The job lines spell out surface prep, labor by the hour or by the room, and paint by brand, finish and color code with the other materials. Totals show the subtotal, sales tax where it applies, any deposit already paid and the balance due, followed by payment methods, any late fee policy and the warranty.

Painting job totals

How the invoice total is calculated

This painting invoice generator multiplies each line, totals labor, prep, paint and extras, takes the discount off, taxes the materials when your state taxes them, and then credits the deposit.

On the invoiceThe math behind it
Line amountCrew hours, a room price, a square foot rate, gallons of paint or a supply bundleQuantity × unit price
SubtotalAll billed work and materials ahead of any discount or tax, shown again as labor, prep, paint and supplies, and otherAdd up all the line amounts
DiscountA dollar figure off the whole job, such as a repeat client creditSpread over every line in proportion to its amount, which means the taxed lines absorb some of it
TaxSales tax charged on paint and supplies alone, on all lines, or not at allTax rate × (taxed lines minus their share of the discount)
Balance dueThe amount the client still has to paySubtotal minus discount, plus tax, minus the deposit received

Worked example: four room interior repaint, Net 15, 6.5% tax on paint and supplies only

How to use

How to use this painting invoice template

Four tabs, filled left to right. Each change shows up on the sample invoice beside the form as you type.

  • Fill in your business: the company name and address, a phone number or email, your tax ID and the contractor license number. If you work in homes built before 1978, add your EPA lead safe firm certification number as well, and drop in a logo.
  • Describe the client and the project: who pays, the site address if it differs from billing, and whether the job is residential or commercial, interior or exterior. Start and completion dates sit on this tab too.
  • Record the paint details: rooms, square feet, coats, brand, finish and color codes.
  • Add labor, prep and materials: one line each, tagged Labor, Prep, Paint and supplies, or Other. Hours, rooms or square feet all work as the quantity.
  • Apply tax and the deposit: pick what the tax covers, enter the rate, any discount and what was paid at booking, and the balance due follows.
  • Save the PDF: Download PDF opens your print window; choose Save as PDF and only the invoice comes out, on a single page.

Why invoicing pays off

Why are invoices important for painting contractors?

Getting paid is the obvious job of an invoice. It also records what went on the walls and what the client signed off on.

  1. Clear communicationScope, labor and materials laid out room by room.
  2. Quicker collectionsWhen the client can see the square footage, the coats and the paint they chose, there is less to question, so payment tends to arrive sooner.
  3. Tax and job costing recordsDated, numbered invoices that list tax separately support your sales tax filing and show which jobs actually made money.
  4. A professional imageA branded PDF tells the client you run an organized business.
  5. Automated totalsA generator does the multiplication and the tax for you. Errors from adding by hand disappear, and itemized lines stop the forgotten primer or the extra trip from slipping off the bill.
  6. Proof of lead safe workOn pre 1978 homes, the firm certification number on the invoice links the bill to your certified work.
Sales tax

Do painters charge sales tax on labor and paint?

States split painting work in different ways, often by whether the building is residential, whether the paint job counts as maintenance, or whether the work is new construction.

StateHow a painting job is treated
TexasRepainting is treated as repair or remodeling work. Residential labor goes untaxed, while the total charge on nonresidential property is. If the repainting is scheduled maintenance, tax is not due on the labor, though the materials stay taxable.
New YorkPainting new buildings, structures or additions is a capital improvement. Painting or repainting an existing building is a repair or maintenance service, so the painter collects sales tax from the customer.
WashingtonDecorating buildings for consumers is a retail sale under state law. Contractors collect sales tax on the full contract price, and every bill, progress billings included, must show the tax separately. Writing "tax included" does not count.

Other states have their own rules. Ask your state revenue department how it treats painting, then match the Tax applies to and Tax % settings.

Lead safe painting

When does a painting invoice need a lead safe certification number?

Whenever you are paid to disturb paint in a home, apartment or child care facility built before 1978, the federal lead safe rule applies, and the firm doing the work has to be certified.

RuleWhat it means for a painting job
Which buildingsHouses, apartments and child occupied facilities such as schools and child care centers built before 1978. Painting preparation is one of the activities listed.
Who is certifiedThe firm needs EPA or state certification, and its workers are trained as certified renovators or trained on the job by one.
Small jobsMinor repair and maintenance that disturbs 6 square feet or less of paint per room inside, or 20 square feet or less outside, is outside the rule.
Before work startsNo more than 60 days before the job, give the owner the Renovate Right pamphlet and get a written acknowledgment, or a certificate of mailing at least 7 days before work begins.
RecordsKeep the records that show you followed the rule for 3 years after the job is finished.
Firm certificateEPA issues the firm certificate for up to 5 years, and the firm recertifies every 5 years.

The rule does not require the number on an invoice. Printing it there simply ties the bill to the certified firm that did the work, which helps when a client or inspector asks.

Payment terms

What payment terms should a painting invoice use?

Write the terms on every invoice so the client knows how and when to pay. Net 15 and Net 30 are common; one room touch ups are usually paid on the day.

TermWhen the client paysTypical painting job
Due on receiptAs soon as the invoice arrivesTouch ups, a single room, an accent wall
Net 7 or Net 15Within 7 or 15 days of the invoice dateWhole house interiors and repeat homeowners
Net 30Within 30 days of the invoice dateProperty managers, builders and commercial clients
Deposit plus milestonesPart when the job is booked, the rest at set stagesExteriors, multi week repaints, cabinet refinishing

One common milestone split is 30% up front, 40% once prep and priming are done, and the final 30% at completion. In California, a home improvement down payment cannot be more than $1,000 or 10% of the contract price, whichever is less, so check your state before you set a deposit.

Estimate, invoice, receipt

Painting estimate vs painting invoice vs receipt

The estimate wins the job, the invoice bills it, and the receipt closes it out. Change orders sit in between whenever the scope grows.

DocumentTimingPurpose
EstimateBefore any paint is openedA projected price the client approves, usually built on rooms, square feet and coats.
Change orderMid job, when the scope changesPuts an extra room, a color change or wallpaper removal in writing before you do it.
Deposit invoiceWhen the job is bookedCollects part of the price up front and holds the dates.
InvoiceAt completion or at each milestoneThe final bill for the labor, prep and materials actually supplied.
ReceiptOnce the money arrivesConfirms the client has paid.

Industry specific tips for painting invoicing

Paint prices swing with square footage, surface condition and the product the client picks. These habits keep the bill easy to defend.

  1. Include square footage or room detailsShow the size of each area, or the count of rooms, so the client can check the math against the estimate.
  2. Name the paintBrand, finish and color code.
  3. Bill prep and cleanupPriming, sanding, caulking and debris removal take real hours. A separate prep line shows the client that work happened even though the finished wall hides it.
  4. Offer installment billing on big projectsDeposit, progress and completion invoices.
  5. Write up change ordersAn extra bedroom or a switch to a darker color is a new line on paper before it is a new coat on the wall, never a verbal yes.
  6. Flag pre 1978 homesNote the year built and your firm certification number.

Painting crews lose jobs to voicemail. Every missed call is an estimate someone else gives.

Homeowners ringing about a repaint usually call two or three painters and book whoever calls back first, and that is hard to do from the top of a ladder with wet hands. ServiceAgent picks up every call, asks about the rooms, the surfaces and the timing, and books the estimate visit into your calendar while you keep painting.

Frequently asked questions

Quick answers on billing painting work and using this generator.

Book a free demo
What should a painting invoice include for clients?

Painter and client details, the project site, an invoice number and dates, the rooms or areas with square footage and coats, the paint brand and color codes, prep work, labor, materials, tax, the total due, any deposit and the terms of payment.

When is the best time to bill a painting job?

The day the last coat is dry and the walkthrough is done. For larger projects, send one at each milestone you agreed in the contract.

What's the difference between a painting estimate and a painting invoice?

The estimate is the projected price agreed before the first brush comes out. The invoice bills what was actually supplied in labor, prep and materials, including any change orders added along the way.

What is the difference between a painting invoice and a receipt?

A painting invoice is the request to be paid. The receipt is proof that the client has settled it.

How do I format a painting invoice correctly?

Logo, business details and invoice number at the top; client, project site and dates next; then a short job summary with rooms, square feet, coats and colors. Itemized labor, prep and materials come next. Close with the totals, the balance due set in bold, and the payment terms. Save it as a PDF before sending.

Should painters use an invoice template or a generator?

A template gives you the layout. A generator also does the math, keeps every invoice consistent and hands you a PDF in one click, which is quicker when you bill several jobs a week.

How does a painting invoice generator work step by step?

Four quick steps. Your company goes in first, then the client and project details. Add labor, prep and paint as separate lines, then set tax, discount and the deposit. The painting invoice generator totals each group, works out the balance due and exports the invoice as a PDF.

Why are painting invoices important for contractors and clients?

For the painter they serve as proof of the job, a cost breakdown and a tax record, and they build trust. For the client, the paint codes on the invoice are the easiest way to match a touch up later.

Do painters charge sales tax on labor?

That varies from state to state. Residential repainting labor is exempt in Texas, New York treats repainting an existing building as a taxable maintenance service, and Washington applies tax to the full contract price. Confirm your own state, then pick the matching Sales tax covers option.

Do I need lead safe certification to paint an older home?

If you are paid to disturb paint in a home or child care facility built before 1978, yes. The firm must be EPA or state certified unless the job is a minor repair of 6 square feet or less per room inside or 20 square feet or less outside.
