Labor lines take hours in Qty. Set tax to parts only and the Parts lines alone pick up tax.

A printable invoice template is a bill laid out to come off a printer cleanly on one sheet. It needs your business name and contact details, the customer, an invoice number in sequence, issue and due dates, each charge with quantity and price, then the subtotal, tax, total and balance due. Pick Letter, the North American sheet, or A4, the ISO size, to match the paper in your printer. For jobs paid on the spot, print two copies, one marked for the customer and one for your office, and have the customer sign. A blank invoice template with ruled lines covers the days you need to write a bill out by hand.
How the invoice total is calculated
Each charge gets multiplied out first. The discount then comes off the subtotal, tax is added only where you switched it on, and whatever the customer paid before you left is taken away to give the balance.
| Meaning | Worked out as | |
|---|---|---|
| Line amount | One charge on the sheet: a service call, labor time, a part or a fee | Quantity times unit price; for Labor, hours times the hourly rate |
| Subtotal | Every charge summed ahead of discount or tax, and split by type | Sum of every line amount |
| Discount | A flat sum removed from the bill | Split across lines by size, so taxed lines absorb part of it |
| Tax | Parts only, all lines, or switched off | Tax % × taxed lines after their part of the discount |
| Balance due | What the customer still owes after paying at the door | Subtotal minus discount + tax minus paid at the job |
Worked example: a dryer repair visit with no sales tax and a partial payment taken on site
How to use this printable invoice template
Work through the four tabs while the sheet on the right redraws itself, so you can catch a typo before it reaches paper.
- Business details: name, address, phone and email, plus a tax ID or license number if your customers expect to see one.
- Customer and job: who pays, the billing address, a separate job site when the work happened somewhere else, the job date and the technician who did it.
- Charges. One line each for the call out, labor, parts and any fee; the amounts and type subtotals update on their own.
- Tax and payment: discount, tax setting, money collected at the job and the payment terms. Those decide the balance printed at the bottom.
- Paper and copies: choose Letter or A4, portrait or landscape, then a copy label. Pick Customer and Office copies and the printer gets two sheets with matching numbers, one for each side of the deal.
- Print it. Download PDF prints the filled invoice alone on one page; choose Save as PDF in the print window to keep a file. Print blank form gives you an empty ruled sheet with your header and the next number on it.
What a printable invoice needs on the page
On paper there is no clicking back to fix a missing detail, so every box the customer or your bookkeeper needs should already be on the sheet.
| Section | Details to add |
|---|---|
| Business details | Business name, logo, street address, phone, email, and a license or tax ID number where you hold one. |
| Client details | The person or company paying, their billing address and phone, and the job site if it differs. |
| Invoice information | The invoice number, the issue date, the job date and the due date or terms. |
| Line items | Description, quantity and unit price for each call, hour of labor, part and fee. |
| Summary | Subtotal, discount, tax, total, anything paid on the spot and the balance due. |
| Copy label | Customer copy or Office copy printed at the top, so the two sheets never get mixed up in a folder. |
| Signature and date | A line for the customer to sign that the work was done, with the date beside it. |
| Additional information | Accepted payment methods, warranty wording, a PO number and a short thank you. |
Letter vs A4 for a printable invoice
The two sheets are close in size but not the same. Printing an A4 layout on Letter paper, or the other way round, is what trims off a footer or leaves a wide empty strip.
| Paper | Size | Use it when |
|---|---|---|
| Letter | 8.5 x 11 inches | Your printer tray holds North American letter stock. |
| A4 | 210 x 297 mm | The tray holds ISO A4 sheets. |
| Portrait | Tall side vertical | Most invoices, and the best fit for a long list of charges. |
| Landscape | Wide side horizontal | Short bills with long descriptions, or a sheet going into a wide binder. |
Whichever you pick, the generator sets the page size for the print window, so leave scaling at the default rather than Fit to page.
Customer copy, office copy and carbonless style numbers
Paper invoice books have long given the customer the top sheet and kept a duplicate underneath with the same printed number. This blank invoice template copies that habit on plain paper.
- Customer copyGoes home with the customer or into the mailbox. It shows the balance still owed and how to pay it.
- Office copyStays with you, gets the signature, and is the sheet you file.
- Matching numbersBoth copies carry one invoice number. When a customer calls about a bill, either sheet points straight to the other.
- Carbonless book styleShows the number as six red digits in the corner, the way a preprinted duplicate book looks, while you keep counting up one at a time.
- No skipped numbersSpoil a sheet? Write VOID across it and file it instead of throwing it away, so the run of numbers stays complete.
Why use a printable invoice template, and why invoices matter
Plenty of service work still finishes at a kitchen table or a loading dock where a sheet of paper is the quickest way to settle up.
- Paid before you leaveHand over the bill while the customer is standing next to the finished job, and collect there and then.
- Works without a signalA basement or a rural site with no reception does not stop a paper invoice.
- Signed proof of the workThe customer's signature on your office copy settles most later arguments about what was agreed.
- Records for tax timeInvoices are among the papers that back up the income you report, so each one belongs in your files.
- Looks consistentThe same header, numbering and layout every time reads as an organized business.
How long to keep printed invoices
The IRS lists invoices as one kind of record showing gross receipts. Paper and scanned copies follow the same keep periods.
| How long | Applies to |
|---|---|
| 3 years | Default period when no longer case below fits. |
| 4 years | Payroll and other employment tax records; the clock starts at the due date or the payment date, whichever is later. |
| 6 years | Income left off the return tops 25% of the gross income reported. |
| 7 years | A bad debt deduction, for example an unpaid invoice written off, or a worthless securities loss. |
Scanning the signed office copy is fine. A digital copy counts as long as you can index it, keep it safe, find it again and reproduce it legibly.
Printable invoice vs quote vs receipt
All three can come off the same printer, yet each one marks a different point in the job.
| Document | Handed over | What it does |
|---|---|---|
| Quote | Before the work starts | Sets out the expected price for approval. |
| Invoice | Once the work or delivery is done | Asks for payment of what is owed, by a due date. |
| Receipt | When the money is in | Confirms the payment. A paid invoice showing a zero balance can serve as one. |
Industry specific tips for printable invoicing
Small habits that keep paper billing tidy, whichever trade you are in.
- Carry a few blank formsKeep printed blanks in the van or folder for days the laptop stays at the office.
- Write in penPencil smudges and can be changed.
- Use the job site lineLandlords, property managers and builders often pay for work at an address that is not theirs. Putting both on the sheet stops the bill landing with the wrong person.
- File the office copy the same dayA folder by month, or a quick phone scan, keeps you from hunting through a glovebox later.
- Print a test page firstRun one copy on plain paper to check the margins before loading letterhead.
You can't fill out an invoice for a job that never got booked.
When your hands are inside a machine or up a ladder, the phone in your pocket keeps ringing, and a missed call is often a customer who rings the next company on the list. ServiceAgent answers those calls for you, asks what the problem is and books the visit, so tomorrow's stack of printed invoices is a little thicker.

Paper sizes, copies, blank forms and the basics of a printed bill.
Book a free demoWhat should a printable invoice include?
Your business name and contact details, the customer, a numbered reference that runs in sequence, issue and payment dates, every charge with quantity and price, then subtotal, any discount and tax, the total, money already received and the balance. Add payment terms, and a signature line when the customer signs off on site.
When should I send a printable invoice?
Hand it over when the job is finished, or follow the billing schedule you agreed with the customer. A bill given on the day usually gets paid sooner than one posted a week later.
What's the difference between a quote and a printable invoice?
A quote comes before the work and tells the customer what it should cost. The invoice comes after and asks to be paid for what was actually done.
How is a printable invoice different from a receipt?
They sit at opposite ends of a sale: the invoice comes first and asks for money, the receipt follows once it is paid. Keep both with your records.
How do I format a printable invoice professionally?
Header with your name and logo at the top, invoice number and dates on the right, customer and job details underneath, charges in a ruled table, totals at the bottom right, then terms and a signature line. Leave white margins so nothing is cut off by the printer.
Should I use a printable invoice template or generator?
Use both. A printable invoice generator does the arithmetic and lays out a filled bill, while a blank invoice template is the backup for writing one out by hand. This page gives you each from the same header.
How does a printable invoice generator work?
You enter business, customer and charge details, and the printable invoice generator totals them up and sets the sheet to the paper size you picked. Download PDF opens your print window with only the invoice on one page.
Is a printable invoice quick to make?
Expect a few minutes for the first one. Your business details are then remembered in this browser, leaving only the customer and charges to fill in.
Should I print on Letter or A4 paper?
Match the paper loaded in your printer. Letter measures 8.5 x 11 inches and A4 measures 210 x 297 mm, and the generator sets the page to whichever you choose.
How do I print a customer copy and an office copy?
On the Tax and payment tab, set Copy marking to Customer and Office copies. The print window then holds two pages with the same number, each labelled at the top.
Can I print a blank invoice to fill in by hand?
Yes. Print blank form keeps your business header and the next invoice number, and leaves ruled lines for the customer, the charges and the totals.
What are the legal requirements for a printable invoice?
In the US there is no single required invoice layout, but the IRS expects you to keep records that support your income, and invoices are one of them. Sales tax rules depend on your state, so check with its revenue department before adding tax.
What payment terms should a printable invoice show?
State when payment is due, such as due on receipt or Net 15 or Net 30, and how the customer can pay. The due date prints next to the terms.
