Quick answer

A consulting invoice names the engagement it bills (project, SOW or contract reference and the billing period), then lists the work under the billing model you agreed: hours with dates and the consultant's name, day rates, a monthly retainer, a fixed fee or a milestone payment. Reimbursable expenses sit on their own lines at cost with receipts. Your details, the client's, a unique invoice number, issue and due dates, subtotal, any discount or tax, the retainer applied, the balance due and how to pay finish it off.

Invoice total formula

How the consulting invoice total is calculated

The consulting invoice generator multiplies each line out, groups time, fees and expenses, takes the discount off, adds tax only where you switch it on, then credits any retainer already paid.

What it coversThe math
Hours lineTime logged on one date by one consultantHours × that person's hourly rate
Day rate lineFull or half days on site or in workshopsDays × day rate
Retainer or fixed feeA monthly retainer fee or an agreed flat price for a defined scope1 × the agreed amount
MilestoneA payment the contract ties to a deliverable being accepted1 × the amount set for that milestone
ExpenseTravel, mileage, lodging or software the client agreed to reimburseWhat you paid, no markup (mileage: miles × rate)
Discount and taxA fixed amount off, then tax if your state taxes the serviceDiscount spread across lines by size; tax rate × taxable lines after their share
Balance dueWhat the client still owes on this billSubtotal, less discount, plus tax, then minus the retainer credit and anything already paid

Worked example: September billing on a dispatch operations review, two consultants, no sales tax, a $2,000 retainer held from signing

How to use this consulting invoice template

Work across the four tabs in order while the preview panel redraws with every keystroke, so mistakes show up before the client sees them.

  • Your practice: business name, address, contact and tax ID, plus the names of the consultants whose time appears on this bill. Adding a logo is optional; the image is held on your own computer.
  • Client and engagement: the client contact and company, the engagement name, the SOW or contract reference, any PO number the client's accounts team needs, and the billing period this invoice covers.
  • Phase and billing model.
  • Time lines: one Hours line per date and consultant, with hours in Qty and that person's rate as the price. Use a Day rate line for workshop or on site days. Logging by date lets the client match the invoice to your timesheet without a follow up email.
  • Fees and milestones: a Retainer line for a monthly advisory fee, or a Milestone line when the contract pays on a deliverable, named so the client can find it in the SOW.
  • Expenses at cost, each with a date and receipt reference.
  • Tax and payment: leave sales tax off unless your state taxes your service, enter any discount, the retainer being credited and payments already received, then pick net terms. Download PDF prints just the invoice on one page.
Invoice checklist

What a consulting services invoice template should include

Clients often route consulting bills through procurement or finance, people who were never in the meetings. Every block below answers a question they would otherwise ask.

The case for invoicing

Why do invoices matter so much in consulting work?

Advice is invisible until it is written down. The invoice is often the only document that shows a client what the engagement actually consumed.

  1. Proof of timeDated hours per consultant give the client something to check against calendars and deliverables, which settles most billing questions on sight.
  2. Faster approvalA SOW reference and PO number let accounts payable match the bill to a contract.
  3. Predictable cashMonthly or milestone billing with clear net terms keeps income steady across long engagements, instead of one large bill at the end that the client has to budget for.
  4. Clean expense recoveryReceipts tied to each expense line show the client is paying cost, nothing more.
  5. Tax recordsFees and reimbursed expenses kept apart make year end bookkeeping far less painful.
  6. Scope controlBilling against named phases and milestones makes scope creep visible early.
Billing models

How do consultants bill clients?

Most engagements use one of five models, and plenty mix two, such as a fixed fee for the core scope plus hours for anything added later.

ModelHow it worksOn the invoice
HourlyEvery hour worked is billed at an agreed rate, which may differ by consultant or seniority.Hours lines with a date and name each, hours in Qty.
Day rateA set price per full or half day, common for workshops, site visits and interim roles.Day rate lines, days in Qty.
RetainerA recurring fee for ongoing access or a reserved block of time, or an advance held against future bills.A Retainer line for the monthly fee, or the advance credited under Retainer applied.
Fixed feeOne price for a defined scope, whatever the hours.A single line, or one per phase, naming the scope.
MilestonePayments released as named deliverables are accepted.A Milestone line per deliverable, matching the wording in the SOW.
Reimbursable expenses

How should consultants bill expenses?

Pass agreed costs through at what you paid, on their own lines, and keep the paperwork. Clients and their auditors look for both.

ItemHow to show it
MileageMiles × rate. The IRS business standard mileage rate for 2026 is 72.5 cents per mile, a common basis when a contract says to reimburse at the federal rate.
Travel and lodgingAirfare, hotel and ground transport at cost, one line per receipt or per trip, with the date.
MealsAt cost with receipts. Under IRS rules, a self employed contractor who gives the client adequate records of reimbursed meals is not held to the 50% meal limit; the client takes that limit instead.
Software, data and printingOnly when the contract makes them billable, at what the vendor charged.

Attach the receipts or an expense report, and say on the invoice that they are attached.

Sales tax

Do consultants charge sales tax?

Usually not, which is why this generator starts with sales tax switched off. A handful of states tax specific services, so check yours before you bill.

PointWhat it means for your invoice
Services are taxed only where listedTexas, for example, taxes only the services its Tax Code Section 151.0101 lists, grouped into 16 broad categories. Advice that falls outside those categories carries no Texas sales tax.
Check the edgesWork that looks like consulting can land in a taxed category, such as data processing or information services in Texas, so read your state's list against what you actually deliver.
Keep fees and expenses apartIf tax does apply, the Fees only setting leaves pass through expenses untaxed, or use Every line if your state taxes the whole charge.
Quote, invoice, receipt

Consulting quote vs invoice vs receipt

Each document belongs to its own moment in the engagement.

DocumentWhenWhat it does
Proposal or quoteBefore the SOW is signedSets out scope, model and expected fees for the client to accept.
InvoiceEach billing period, milestone or at close outAsks for payment for work and expenses already delivered, with a due date.
ReceiptOnce payment landsConfirms the money was received.

Industry specific tips for consulting invoicing

Small habits that get consulting bills approved on the first pass.

  1. Quote the SOWUse the contract's own name for each phase and milestone.
  2. Bill on a fixed rhythmPick month end, or the day a milestone is accepted, and stick to it. Clients plan around a predictable bill, and a late invoice usually means a late payment.
  3. Name the consultantRates often differ by seniority; showing who did each block explains the price.
  4. Describe outcomes, not just activity"Route data analysis for depot review" reads better than "analysis".
  5. Ask about PO numbers earlyMany larger clients reject invoices without one, and finding that out after sending costs you weeks.
  6. Credit retainers visiblyShow the advance coming off the total so nobody pays twice.

Billing hours is easy. Finding the next engagement means answering the phone.

Prospects tend to call while you are deep in a client session or presenting findings, and a missed call often goes to whoever picks up next. ServiceAgent answers your line around the clock, learns what the caller needs and when, and puts the discovery call on your calendar, so the work you invoice next month starts today.

What should a consulting invoice include?

Your details and the client's, a unique invoice number, issue and due dates, the engagement name and SOW reference, the billing period, each service with hours or days, rate and amount, reimbursable expenses at cost, then subtotal, discount, any tax, total, retainer applied, balance due and payment terms.

When should consultants send invoices?

On the schedule the contract sets: monthly in arrears for hourly and retainer work, when each milestone is accepted, or once at close out for short fixed fee jobs. Sending on the same day each cycle helps clients pay on time.

What is the difference between a consulting quote and an invoice?

A quote or proposal comes before the work and sets out expected scope and fees. An invoice comes after and bills what was actually delivered.

How does a consulting invoice differ from a receipt?

The invoice requests payment. The receipt confirms it was paid, and is issued once the money arrives.

How should a consulting invoice be formatted?

Logo, your details and the invoice number across the top; client and engagement next; then a line table grouped into time, fees and expenses; totals bottom right with the balance due highlighted; terms and notes underneath. That is the order this generator follows.

Should I use a consulting invoice template or generator?

A static template is fine for the odd bill. A consulting invoice generator does the multiplication, groups hours and expenses, credits the retainer and exports a PDF, which saves real time when a month has dozens of dated entries.

How does a consulting invoice generator work?

Fill in your practice, the client and engagement, add time, fee, milestone and expense lines, then set tax, discount, retainer and terms. Totals and the balance due update live, and Download PDF saves a one page invoice.

How quickly can I make a consulting invoice with a generator?

Two or three minutes once your details are saved in this browser. Most of that is entering the period's hours.

How is this different from an hourly invoice?

An hourly invoice is a simple timesheet bill for any hourly worker. This template is built around an engagement: SOW reference, billing period, phase, several consultants at different rates, plus day rates, retainers, milestones and expenses on one bill.

How do I show a retainer on a consulting invoice?

A recurring monthly retainer fee goes in as a Retainer line. An advance paid up front is credited under Retainer applied on the payment tab, reducing what is left to pay.

Can I mark up expenses?

Only if your contract says so. Most consulting agreements reimburse at cost, which is how the Expense lines here are meant to be used.

Is my consulting invoice saved or sent anywhere?

No upload. The draft is saved in this browser so it is there next time, and Reset wipes it.
